How do I import a list of contacts from a spreadsheet?
If you have a list of contacts in a spreadsheet — like past clients, caregiver applicants, or referral partners — you can import them into CareFunnels all at once instead of adding them one by one.
Note: Contact management is available on the CareFunnels CRM plan and all Marketing In A Box plans. If you don't see the Contacts option in your menu, reach out to your CareFunnels account manager to learn more about upgrading.

Before you start
Your spreadsheet needs to be saved as a CSV file before you can upload it. If your list is in Excel or Google Sheets, here's how to save it as a CSV:
Excel: File → Save As → choose "CSV (Comma delimited)" as the file type
Google Sheets: File → Download → Comma Separated Values (.csv)
Your CSV file must be under 30 MB.
Steps
Step 1 — Start
From the left-hand menu, click Contacts.
In the top right corner, click the Import button.
Select Contacts as the type of data you want to import.
Click Next to continue.
Step 2 — Upload
Click the upload area or drag and drop your CSV file into the box.
Under Choose how to import contacts, leave it set to Create and update contacts — this will add new contacts and update any existing ones that match.
Click Next to continue.
Step 3 — Map
CareFunnels will show you a list of the columns in your file and try to match them to the right fields automatically. For example, a column called "Phone" will be matched to the Phone field, and "Email" to the Email field.
Review the list. If any column shows Not mapped, click the dropdown next to it and select the correct field — or leave it unmapped if it's not needed.
Click Next to continue.
Step 4 — Verify
Review the summary of what will be imported.
Click Confirm to complete the import. Your contacts will be added to CareFunnels within a few minutes.
Pro tip
Before importing, make sure your spreadsheet has clear column headers in the first row — like "First Name," "Last Name," "Phone," and "Email." This makes the mapping step much faster and reduces errors.
Common questions
What types of contacts can I import? You can import Contacts, Opportunities, Companies, and Referral Partners. For most agencies, you'll be importing Contacts.
My column shows "Not mapped." What does that mean? It means CareFunnels couldn't automatically match that column to a field. Either select the correct field from the dropdown, or leave it as "Not mapped" if you don't need that data imported.
Will importing duplicate contacts already in CareFunnels? CareFunnels checks for duplicates using contact ID, phone number, and then email address. If a match is found, it will update the existing contact instead of creating a duplicate.
Can I undo an import if something goes wrong? You can view previous imports by going to Contacts → Import → View bulk actions. Contact your CareFunnels account manager if you need help reversing an import.
My import didn't work. What should I check?
Make sure your file is saved as a CSV (not .xlsx or .xls)
Check that your file is under 30 MB
Make sure the first row of your spreadsheet contains column headers
Make sure each contact has at least a name, phone number, or email address
