How do I know if a lead has responded to my follow-up?
Whenever a contact replies to a text, email, or chat message, their response is saved in CareFunnels. You can check for replies in two places — the Conversations inbox or directly from the contact's record.
Note: This feature is available on the CareFunnels CRM plan and all Marketing In A Box plans. If you don't see the Conversations or Contacts option in your menu, reach out to your CareFunnels account manager to learn more about upgrading.
Option 1 — Check your Conversations inbox (quickest)
Your Conversations inbox is the fastest way to see all recent replies in one place.
From the left-hand menu, click Conversations.
You'll see a list of all your recent conversations. Any new replies will appear at the top.
Click on a conversation to open it and read the full exchange.
Option 2 — Check from the contact's record
If you're following up on a specific person, you can go directly to their contact record to see if they've replied.
From the left-hand menu, click Contacts.
Search for the contact by name, phone number, or email address.
Click on their name to open their record.
Their full conversation history — including any replies — will be visible in the activity feed on their record.
Pro tip
Make it a habit to check your Conversations inbox at least twice a day — once in the morning and once in the afternoon. Responding quickly to a lead's reply can make the difference between winning a new client or losing them to a competitor.
Common questions
I sent a follow-up but don't see a reply yet. How long should I wait? Text messages are usually read within a few minutes. Emails can take longer — anywhere from a few hours to a day or two. If you haven't heard back after 48 hours, it's a good idea to send a gentle follow-up.
Will I get a notification when someone replies? Yes, as long as your notifications are turned on in CareFunnels. Check your notification settings to make sure you're set up to receive alerts for new messages.
What if the lead replied but I can't find their message? Try searching for them in Contacts by phone number or email. It's also possible their reply came through a different channel — for example, they may have called instead of texting back. Check your call log as well.
Can I reply to them directly from CareFunnels? Yes — replying to conversations is available on the CareFunnels CRM plan and all Marketing In A Box plans. Open the conversation and type your reply in the message box at the bottom
