How do I send a text message to a contact?

You can send a text message to any contact directly from CareFunnels — no need to pick up your personal phone. Messages are sent and received through your CareFunnels number and saved automatically so your whole team can see the conversation.

Note: Sending messages is available on the CareFunnels CRM plan and all Marketing In A Box plans. If you don't see the Conversations or Contacts option in your menu, reach out to your CareFunnels account manager to learn more about upgrading.


Where to find this

Conversations → Select or find a contact → Type your message → Send


Option 1 — Send from Conversations (quickest)

  1. From the left-hand menu, click Conversations.

  2. Find the contact you want to text. You can browse your recent conversations or use the search bar to find them.

  3. Click on their name to open the conversation.

  4. At the bottom of the screen, click the message box and type your message.

  5. Make sure the message type is set to SMS. You'll see the channel selector (SMS, WhatsApp, or Internal Comment) just to the left of the message box — click it if you need to switch to SMS.

  6. Click the Send button (the arrow icon) to send your message.


Option 2 — Send from a contact's record

  1. From the left-hand menu, click Contacts.

  2. Search for the contact by name, phone number, or email address.

  3. Click on their name to open their record.

  4. Find the messaging area and follow the same steps as above to type and send your SMS.

Common questions

What's the difference between SMS, Email, WhatsApp, and Internal Comment?

  • SMS — a standard text message sent to the contact's phone number

  • Email — an email sent directly to the contact's email address

  • Internal Comment — a private note visible only to your team, not sent to the contact

The contact didn't receive my text. What should I check? Make sure the contact has a valid phone number saved in their record. Also check that the message type is set to SMS and not Internal Comment. If the issue continues, reach out to your CareFunnels account manager.

Will the contact see my personal phone number? No. Messages are sent from your CareFunnels phone number, not your personal number.

Can I see when my message was delivered or read? Delivery status is shown in the conversation thread. Read receipts depend on the contact's phone carrier and settings.

Can I schedule a text to send later? Scheduled messaging is part of the automation features on the CareFunnels CRM plan. Reach out to your account manager to learn more.
