How do I send a message to multiple contacts at once?

If you need to reach out to a group of contacts at the same time — like following up with all new applicants or sending an update to a list of client leads — you can select multiple contacts in CareFunnels and send them a message in bulk.

Note: Bulk messaging is available on the CareFunnels CRM plan and all Marketing In A Box plans. If you don't see the Contacts option in your menu, reach out to your CareFunnels account manager to learn more about upgrading.


⚠️ Important caution before you start

Sending a bulk message to the wrong contacts — or sending the wrong message — can cause your texts or emails to be flagged as spam, which can affect your ability to send messages in the future. Before sending, always:

  • Double-check your contact selection. Make sure you've only selected the people this message is meant for.

  • Read your message carefully. Once sent, bulk messages cannot be recalled.

  • Start small. If you're trying bulk messaging for the first time, test with a small group first before sending to your full list.

Contacts → Select contacts → More → Send SMS or Send Email


Steps

  1. From the left-hand menu, click Contacts.

  2. Use the smart list tabs at the top (such as Client Leads, Applicants, or Referral Partners) to filter your contacts down to the right group — this reduces the chance of accidentally selecting the wrong people.

  3. Check the box next to each contact you want to message. You can also click Select all to select everyone visible on the page, or Select all [number] to select your entire filtered list.

  4. Once contacts are selected, a toolbar will appear at the top. Click More.

  5. Choose either Send SMS or Send email depending on how you want to reach them.

  6. Type your message and review it carefully before sending.

  7. Click Send to deliver the message to all selected contacts.


Pro tip

Use the smart list tabs to pre-filter your contacts before selecting — for example, click Applicants before selecting contacts to make sure you're only messaging caregiver applicants. This makes bulk messaging much safer and more targeted.


Common questions

How many contacts can I message at once? You can select and message your entire contact list if needed. However, we strongly recommend sending to targeted, filtered groups rather than your full database to avoid spam flags and keep your messaging relevant.

What's the difference between Send SMS and Send email? Send SMS sends a text message to the contact's phone number. Send email sends an email to their email address on file. Make sure the contacts you've selected actually have the correct phone number or email address saved, or the message won't reach them.

Can I use a saved template (Snippet) for my bulk message? Yes! When composing your message, look for the Snippets option to insert a saved template. This saves time and keeps your messaging consistent.

What happens if I send to a contact who has no phone number or email? CareFunnels will skip contacts who are missing the required information for the channel you chose. It's a good idea to check your list for missing contact details before sending.

My messages are being flagged as spam. What should I do? Stop sending bulk messages immediately and contact your CareFunnels account manager. They can help you review your messaging practices and get things back on track.
