How do I set my availability for appointments?

The best way to make sure CareFunnels only shows times you're actually available is to connect your personal Google or Outlook calendar. When your calendar is connected, CareFunnels automatically syncs your schedule — so if you're already booked for something, that time won't be offered to people trying to book with you.

Steps

  1. From the left-hand menu, click Settings.

  2. In the left sidebar, click My Profile.

  3. Click the Calendars tab at the top of the page.

  4. You'll see options to connect your Google Calendar or Outlook Calendar. Click Connect next to the calendar you use.

  5. A sign-in window will appear. Log in to your Google or Outlook account and grant CareFunnels permission to access your calendar.

  6. Once connected, your calendar will sync automatically. Any existing appointments on your personal calendar will block those times from being available for new bookings.


Pro tip

Every team member should connect their own personal calendar individually under their own profile. This ensures that bookings are only offered during times when that specific person is actually free — not just when the general calendar has availability.


Common questions

Do I need to connect my calendar? It's not required, but it's strongly recommended. Without a connected calendar, CareFunnels won't know about appointments you have outside of CareFunnels — which could lead to double bookings.

Which calendar should I connect — Google or Outlook? Connect whichever one you use day-to-day for your schedule. If your agency uses Google Workspace, connect Google. If you use Microsoft 365 or Outlook, connect that one.

Can I disconnect my calendar later? Yes. Go back to Settings → My Profile → Calendars and click Disconnect next to your connected calendar.

My calendar is connected but the availability still looks wrong. What should I try? Make sure the time zone on your CareFunnels profile matches the time zone on your Google or Outlook calendar. A mismatch between time zones is the most common reason availability looks off.
