10 - Using Other Tools and the Calendar in CareFunnels

Edited

In addition to managing contacts and communications, CareFunnels provides a set of supporting tools that make it easier to track interactions, organize tasks, and schedule activities. This article explains the tools available in the right-hand panel of a contact record and how to use the integrated calendar.

The Right-Side Tools Panel

When you view a contact in CareFunnels, the right side of the screen displays several key tools:

1. Activity

  • Shows which pages the contact has visited or interacted with.

  • Helpful for understanding engagement and timing your follow-ups.

2. Tasks

  • Displays tasks associated with the contact.

  • Lets you quickly see what actions are scheduled, due, or completed.

  • You can add new tasks here to stay on top of follow-up.

3. Notes

  • Allows you to record important details about the contact.

  • Example: “Has parents who need 24/7 dementia care.”

  • Notes include the author’s name, so you can follow up with the right team member if clarification is needed.

  • Best practice: add as many relevant notes as possible for context and continuity.

Calendar Integration

CareFunnels also includes a calendar feature to keep your scheduling organized:

  • View Appointments: See all upcoming meetings or assessments linked to your contacts.

  • Schedule Events: Add appointments directly from the system.

  • Sync with Workflow: Calendar events help keep you aligned with pipeline stages (e.g., “Assessment Scheduled” → add calendar event).

Why This Matters

  • Visibility: Everything you need to manage a contact—activity, tasks, notes, and events—is in one place.

  • Collaboration: Notes and tasks are visible across your team, ensuring everyone is aligned.

  • Organization: The calendar feature ensures meetings and assessments don’t slip through the cracks.

Tip: Encourage your team to always log notes and tasks immediately after each interaction. This habit builds a complete history that’s invaluable when handing off leads or reviewing progress later.
