Rich WhatsApp Media Messaging in CareFunnels Conversations

We just upgraded WhatsApp inside CareFunnels Conversations to support richer, more reliable media messaging. This update is available in the new Conversations experience and makes it easier for home care teams to send documents, photos, and videos with clear context, right from the CareFunnels CRM.

This is a big win for faster intake, smoother caregiver recruiting, and cleaner communication with families and referral partners.


What’s New

1) Send WhatsApp media with captions

You can now add captions when sending files through WhatsApp so the recipient understands exactly what they are receiving.

Works when you:

  • Upload files directly from the conversation composer

  • Attach files from Media Storage

If you send multiple attachments together, your message text is automatically applied as a caption, so every file comes with context.

  • “Here is our pricing overview and service agreement for review.”

  • “Here is the caregiver onboarding checklist and next steps.”

  • “Here is the care plan draft. Please confirm the schedule and start date.”


2) Full WhatsApp supported file types

WhatsApp conversations in CareFunnels now support all file formats allowed by the WhatsApp Business API, including commonly requested document types.

You can send:

  • Images: PNG, JPG, JPEG (up to 5MB)

  • Videos: MP4, 3GP (up to 16MB)

  • Audio: AAC, AMR, MP3, M4A (up to 16MB)

  • Documents: TXT, PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX (up to 100MB)

This removes previous limitations where certain files could not be shared via WhatsApp.

You can now browse and attach files from Media Storage directly inside a WhatsApp chat:

  • Reuse existing assets without re-uploading

  • Preserve original filenames for a more professional experience

  • Send unlimited attachments from Media Storage

4) Keep important media from expiring with Add to Documents

WhatsApp media can expire over time. With this release, WhatsApp attachments remain compatible with Add to Documents, so you can store important files and customer assets safely inside the CRM.

5) Improved reliability and stability

We fixed multiple issues that impact day-to-day messaging:

  • Media no longer duplicates when replying

  • Broken document thumbnails are fixed

  • Text and attachments now send as a single clean message

  • Filenames no longer appear as “Untitled”

  • Improved composer layout when sending links and attachments together
